SUMMARY: This position supports the clergy, staff, and parishioners by greeting parishioners, visitors and guests, managing PT front desk staff, maintaining access protocols for building, validating garage parking, answering calls to building, creating a friendly, welcoming environment. This is a multi-function position which has in-person contact with homeless neighbors on a regular basis.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned.

  1. Communicates effectively with parishioners, visitors, staff, guests, etc.
  2. Greets staff, visitors, and guests; determines the purpose of each person’s visit and directs or notifies appropriate staff of their arrival.
  3. Answers, screens, and directs phone calls to staff; takes messages when applicable.
  4. Creates outgoing auto-attendant messages and maintains staff directory. Assigns clergy on call extension to pastoral care auto-attendant system each week.
  5. Receives mail, documents, packages, and courier deliveries, logs them into incoming package logs and notifies staff of their arrival.
  6. Performs administrative and clerical support tasks for staff as requested.
  7. Maintains “Incident Report” on SharePoint regarding campus security issues and makes clips of security camera footage as appropriate or requested.
  8. Maintains and orders water, first aid supplies, etc. for front desk as needed or requested.
  9. Hire, train, schedule, and manage part-time front desk personnel.
  10. Enter or assist in the entering of license plates into lobby kiosk for parishioners/visitors/guests who park in the garage, when appropriate, inform and instruct people on how to exit and pay for the Parking Garage as needed.
  11. Record attendance at events, classes, worship, etc. in Shelby if requested.
  12. Maintain Shelby database’s parishioner contact information from returned mail.
  13. Perform other duties as determined by the Rector or Parish Administrator.

EDUCATION and/or EXPERIENCE – High School Diploma, proficient computer skills including MS Office Suite and database management. At least three (3) years in customer service, front desk reception, or related experience. 5+ years as receptionist preferred.

LANGUAGE SKILLS – Excellent English reading, writing, and speaking proficiency required. Bilingual in Spanish/English preferred

TYPICAL DAYS/HOURS WORKED – Typical Schedule: Monday-Thursday 8:30 a.m.-5 p.m.; Sunday 7 a.m.-12 p.m.; Friday/Saturday Off.

Special Events: St. David’s Episcopal Church hosts several large events during the year including SXSW, Austin Film Festival, and concerts. Additional hours may be worked during these or other events as needed.

SKILL and ABILITIES

  • Excellent verbal communication skills.
  • Excellent interpersonal and customer service skills.
  • Work or educational experience in area of social work or related field preferred.
  • Basic understanding of administrative and clerical procedures and systems.
  • Proficient with Microsoft Office Suite or related software.
  • Ability to effectively manage and supervise others required.

Ability to communicate verbally both in person and by phone. Position may require sitting for long periods of time while working at a computer or talking on the phone. Specific vision abilities required by this job include close and color vision. Ability to stoop, kneel, bend, and reach items overhead.
